Assistant MICE Manager

Job Description

Overall Responsibilities 

  • Effective and relationship-building communication with the overseas agents
  • Maintain and improve relationships with existing customers and look for opportunities to attract new clients
  • Preparation of creative and suitable presentations, itineraries and quotations
  • Handle the whole reservation process from enquiry to payment follow up
  • Maintain excellent supplier relationships and (re)negotiate the best possible ad-hoc rates
  • Coordinate with operations, escort site inspections and groups on spot, to ensure optimal on-the-ground handling
  • Source creative new MICE products and present these in a clear and informative way
  • Review and update current MICE presentation formats, product database, external communication and handling SOPs
  • Work closely with the MICE Manager and Managing Director / Deputy Managing Director in developing a fresh look and feel for the company’s MICE product
  • Take over the manager’s duties in terms of reporting and workload management whenever the MICE Manager is out of office.
  • Update the follow up master file at all times
  • Follow up payment for non-credit agents /overdue credit
  • Ensure that the supplier invoices are paid on time
  • Ensure that the payments are received within the given deadline


  • Minimum 3-5 year experience in a MICE environment
  • Fluent command of English and either Spanish or French – both verbally and in writing – is essential (additional languages are a definite advantage)
  • Relevant MICE market/product knowledge
  • Experienced in preparing MICE proposals
  • A creative mind-set and pro-active approach
  • Great communication and interpersonal skills
  • A think-out-of-the-box and hands-on attitude
  • Strong negotiation and presentation skills
  • Excellent command of Microsoft Office applications (Excel, Word, Outlook, PowerPoint) and excellent computing skills
  • Able to work under pressure, meet tight deadlines and work flexible hours during peak moments. A willingness to travel for work and spend time outside the office when required.
  • Able to delegate, cooperate and coordinate with all concerned persona and institutions within the travel industry.
  • Hardworking and friendly, service minded attitude.
  • Candidates must be detail-oriented and possess good negotiation skills.
  • A "Can Do" attitude and positive thinking that includes creative thinking is an asset
